This project is focused on implementing Parchment integration with Colleague in support of the Student Records Office’s (SRO) objective to utilize Parchment to process transcript requests. The SRO seeks to improve efficiency and capabilities in providing this important service to students and alumni. Through research of various electronic transcript services, they have selected Parchment (www.parchment.com) as the electronic transcript processing service that best meets the needs of CCA. Parchment offers a solution that is secure, reliable, cost-effective, and is widely adopted by organizations and associations internationally.

Business Case: 

Responding to transcript requests is a core student service provided by the Student Record Office (SRO). Requests for transcripts are generally initiated by CCA graduates, and are most often sent to other colleges or universities, prospective employers, certifying organizations, or on occasion, to the alumnus him/herself. On average, the SRO receives 1,200 transcript requests annually.

The current process for responding to these requests is manual and paper-based. Upon receipt of the request, the registrar locates the transcript in Colleague, prints, and sends it by mail to the recipient. Students are charged per transcript request to cover time and postage fees.

This manual process, coupled with delivery by postal service, results in a duration of several days to weeks for the recipient to receive the transcript. This delay is even longer for transcripts going to international recipients, for which there is an increasing demand due to our growing international student population. This delay has the potential to cause unnecessary delays for our alumni in their pursuits of postgraduate education or job opportunities.

The SRO seeks to improve efficiency and capabilities in providing this important service to students and alumni. Parchment offers a solution that is secure, reliable, cost-effective, and is widely adopted by organizations and associations internationally.

With Parchment, there is no cost to the college to send transcripts, other than the effort required to establish integration. The student pays Parchment to process the transcript request. Processing would be handled through an automated workflow, via an integration with our Ellucian Colleague system, which creates and sends a certified electronic transcript to the destination.
