Known Issues (as of the latest release)

  • Some ex-students are still showing up in the directory. This is tricky to fix since we’re still getting them in the data but we’re looking at better ways to identify them based on the data we have.
  • People don’t always show up in right program or department. This is usually because they are not listed correctly in Webadvisor or in Workday. When corrected in the source system the new data shows up in Portal within 24 hours.
  • Avatar cropping tool may not display the correct crop if you attempt to edit the avatar image in a different browser or different window size.

0.3.02
September 28, 2017

0.3.02 launches a week early to keep the CCA student application working with the release of Workday 29.

This release also debuts the New Campus section of the Portal. New Campus is only available when you are logged in and is currently under its very own tab.

New Campus will contain regular updates about campus planning. The section launches with news sent out early this year via email as well as a recent update about the Ford GoBike bicycles that can be found at the SF campus and soon to show up at the Oakland campus.

0.3.01
August 28, 2017

0.3.01! We have officially left behind version 0.2 — we probably should have incremented the version a while back when we added better searching but we’re working too hard on features and content to think about numbering.

0.3.01 has a hidden feature. Working with Marketing and Communications, we’ve built a new Campus tab — hidden from view while we get all the content in place. Campus will debut in a week or so with information about campus planning. We’ll be adding information about transportation and other campus resources before the end of October.

General
  • Portal version number graduates to 0.3.
  • Page load speed improvements across the board with more to come.
  • Portal dashboard no longer rotate through a series of images. Page load shows a random image each time.
Dashboard
  • The Student’s class schedule on the dashboard is easier to understand and now clearly displays the current day and which courses are not meeting this week. Completed courses for the term have their own section — very useful for Summer courses. And unscheduled courses such as online courses display more information.
  • Also fixed a number of bugs where the class schedule and the catalog would display wrong or misleading section dates and times.
Shop Directory and Shop Pages
  • Improved help text for editors.
Course Catalog and Planner
Campus tab and Campus News
  • The Portal is ready to launch a new Campus tab with news about campus planning. This tab is currently in stealth-mode while we load it up with content.

The Portal 0.2.12 release contains mostly bug fixes and UI improvements for the Portal and some new and improved features for the student application.

0.2.12 Details

Portal

General
  • New students can access the Portal as soon as they create their CCA student account. (There used to be a delay.)
  • 3rd party scripts and tags are now managed via Google Tag Manager using the same GTM container as is used for CCA.edu which allows for more control over tags and better tracking across sites.
Shop Directory and Shop Pages
  • Fixed an error with related shops.
Course Catalog and Planner
  • Improved the message to students that they need to go to Webadvisor to complete their course registration.
  • Fixed a problem with the display of the academic calendar in the planner.

Student Application

  • Application status on the dashboard correctly indicates when an application is inactive because the cohort for the application is closed.
  • Added the ability for applicants to update and resend recommendation requests from the application dashboard.
  • Application now communicates to the applicant that their session has timed out. (Application is automatically saved with ever change so data isn’t lost.)
  • Add an option for "None" in the "Military Service and Veterans Benefits" field
  • Improved feedback when uploading an essay. Application now says why the file upload failed so that the applicant can fix the problem before trying again.

A few small Portal improvements snuck into 0.2.11. Otherwise the release focused mostly on improvements to the campus student application in preparation for next year.

Portal

Shop Directory and Shop Pages
  • Added Printing Services to shops. Printing services have been part of shops for a while but now they have their own shop type so you can filter for them in search.
  • Shops now sort alphabetically if no filter or search is applied.
People Directory and Profiles
  • People now sort alphabetically if no filter or search is applied.

Student Application

  • Uploading of the personal essay is now part of the application form and is required before the form can be submitted. The essay is no longer displayed on the dashboard with the requirements.
  • Added # of college credits for transfer and second degree applicants.
  • Minor improvements to the instructions under Education History.
  • Smarter expiring of admissions events; we no longer display events that have already started.
  • Fixed a bug where applicants could create a blank school.
  • Fixed a small accessibility bug with the Fee Waiver button. Some users may have had trouble triggering the button using only a keyboard.

In version 0.2.10, we bring ElasticSearch to the Shops directory. Now all of current directories — People, Courses, and Shops — use ElasticSearch. We also introduce name suffixes for the folks who might want to add them to their profiles.

And the usual bug fixes and small UX improvements.

  • Shops directory now uses ElasticSearch.
  • Shops directory now provides ability to filter by shop, computer lab, or check-out service.
  • Identified and updated some shops that didn’t specify a location.
People Directory and Profiles
  • Workday and Portal profiles now support name suffixes. Want to add Jr. or Ph.D to your name? Go to Workday and add you favorite suffix to your preferred name on your Workday profile.
  • Searching for names, usernames, and other text containing numbers and punctuation now works correctly across all directories.
Profile
  • Minor improvements to Profile avatar editor, including upload progress bar.
Course Catalog and Planner
  • Updated all add to planner and remove from planner icons.
  • Improved help text for add and remove buttons.
  • No longer allowing students to add cancelled courses to their planner.

Student Application

  • Trim trailing whitespace from email before saving to avoid validation errors.
  • Fixed a bug where pressing the Enter key inside the application, inquiry, and event registration forms the would go back to the application dashboard.

0.2.09
June 5, 2017

The 09 release of the Portal included a refactoring of the CCA student application code to be able to support auto-saving. This will reduce the possibility that applicants will lose data while editing their applications. We also took this opportunity to reduce and simplify the amount of code and make it easier to maintain.

We also fixed a few niggling bugs in the Portal.

Portal

  • Profile
    • We now support the tilde (~) character in site URLs.
  • Course Catalog and Planner
    • Course section pages now correctly if the section in online or off-campus.
  • Shop Directory and Shop Pages
    • Fixed a formatting bug when a person’s name got very long.
    • No longer displaying the section header for Orientations if there are not currently any orientations listed in the calendar and/or there isn’t an orientation summary.
  • People Directory and Profiles
    • When accessing the People directory without logging in, we now present a better message as to why you can only see a very small number of students.

Student Application

  • Auto-save for the student application.

Following the refactor of the People directory in the last release, this release contains an overhaul of the Course Catalog using the super-fast and powerful ElasticSearch framework.

0.2.08 also contains the first release of FAQ and Tutorial content templates for Shops which we'll be able to use for other content in the Portal and the final release of the CCA email footer generator.

If you've already tried out the email footer generator in the Portal, you will want to build a new footer using the final footer design.

    • Made the orientations field a little more flexible, allowing for only an orientation summary without calendar integration.
    • Fixed some formatting problems on shop manager avatars.

    • Fixed some permissions bugs in search.
    • Added the ability to refresh individual records in the in the search index without completely rebuilding the index.
    • Partial match searches supported for names and usernames.

Admissions

  • Add administrative configuration tools to allow for graduate programs to be individually turned on and off as different program cohorts get filled.

0.2.07
April 6, 2017

Portal 0.2.07 delivers a completely refactored People Directory built on ElasticSearch. The new People Directory is faster and provides better filtering and is easier to use. We’ve also introduced a new card view in addition to the old list view.

The course catalog and shops directory will transition to ElasticSearch over the next couple of sprints.

Another feature that you may love or hate, the Portal now actively logs you out of your session after 20 minutes of inactivity, matching the behavior of Workday. Since the Portal displays some people and roster data, it is important to not leave sessions open. Depending on your feedback, we may relax or modify how this feature works in the future.

This release also contains some nice improvements to the Shops pages, a few important bug fixes, and improved messaging and accessibility.

Over the last three weeks, we’ve been testing the sync between Webadvisor and the Portal with a small number of student volunteers. While this testing is not complete, we can report that it went very well. After working through some initial configuration problems, the sync is working perfectly. We also surveyed and talked with many of the students, providing great feedback to improve the user experience before the next registration cycle in the Fall.

0.2.07 Details

Portal

  • General
    • Improvements for filtering out people who are not current students, staff, faculty or alumni.
    • Session timeout matching Workday. After 15 minutes of inactivity, a message appears saying that the session will end after a 5 minute countdown. Clicking anywhere on the page will restart the 15 minute timer. If there isn’t a click by the end of the countdown, the browser redirects to the CCA Logout page, ending the Portal session.
    • Minor navigation fix for the iPad.
    • Some minor accessibility fixes for improved keyboard navigation and screen reader support.
  • Dashboard
    • Added a links Workday and Lynda.com.
    • Fixed a bug where the next and previous arrows for events were not appearing on mobile devices.
  • Course Catalog and Planner
    • Section capacity/availability now matches Webadvisor.
    • If you haven’t visited the course catalog, the catalog defaults to the current enrolling term not the current term. If you are a returning visitor then you see whichever term you had selected during the last visit, if that term is still an active term.
  • Shop Directory and Shop Pages
    • Shop managers can tag orientations in the shop calendar so that those orientations can be displayed in a separate orientation list.
    • Customizable titles for shop managers. Now instead of just Shop Manager, managers can have titles more fitting to their role or the culture of the shop.
  • People Directory and Profiles
    • New ElasticSearch driven front-end; faster, more features, easier to use.
    • New card view.
    • Added a banner that encourages people to log into the Portal to see more results in the People directory.
    • UX improvements and bug fixes for the new avatar editor, including fixes for Internet Explorer 11.

Admission Events

  • No longer displaying the dates of cancelled events in the date picker.

0.2.06

The biggest feature in Portal 0.2.06 is an upgraded and easier to user avatar editor for your Portal profile. There a number of other improvements across the system. Please see Details below.

During the Fall ‘17 registration period, we’ll be testing with a small number of students the capability to keep the Portal course planner in sync with the preferred courses list in Webadvisor. This will ensure that the new functionality is complete, easy to use, and error-free and ready to roll out in the Fall.

0.2.06 Details

Portal

  • General
    • Added a maintenance-mode screen to be displayed during system downtime.
    • Added warning for out-of-date browsers with a link to update your browser.
      • We currently test and support the same browsers that Google supports.
    • Correctly importing alumni users into the Portal. Alums can login but there isn’t anything special for them there right now.
    • Small performance enhancement by compressing and concatenating JS and CSS files.
    • Fixed a number of students in the Portal that were not showing up as students.
  • Course Catalog and Planner
    • Rolled out the Fall ‘17 Catalog and Planner in Portal.
    • Rolled out planner/webadvisor integration to 14 student testers.
  • Shop Directory and Shop Pages
    • Worked with shop, lab and checkout managers to add additional spaces and to make incremental content for existing spaces.
  • People Directory and Profiles
    • Major upgrade the avatar editor. Much easier to make changes to your avatar after the fact.
    • Image upload for avatar will limit to user to image file formats on supported platforms/browsers.

CCA Student Application

  • Many fixes for Admin users to make it easier to manage applicants and applications.
  • UI changes to support closed cohorts.
  • Now only allowing one account per email.
  • Validating middle name, restricted to 30 characters. Would previously throw an error.
  • Blocking the creation of a 2nd undergrad for a single term.

Feb. 23, 2017

0.2.05 contains a number of minor enhancements for the new Shops pages and some layout and formatting improvements for the Portal, particularly on mobile devices.

Over the next week or so, you should also expect some of the resource check-out centers on campus join the Shops directory such as the Media Center and the Film cage, as well as the campus computer labs.

    • Shop pages can now have more than 3 pictures. Clicking on the shop images will bring up a gallery of images for that shop.

Feb. 2, 2017

0.2.04 is mostly a bug fix and clean up release following the release of the new Shops directory.

The shop managers have also made many, many edits and improvements to the Shops content. The directory is now very complete and up-to-date.

The Portal team has also begun discussions with students, staff, and faculty, collecting ideas, requirements, and priorities for our next big push around information for students. This work will begin to surface over the next 4 to 5 months.

0.2.03
January 9, 2017

0.2.03 marks the release of the Portal shops catalog and shop pages. Most of CCA's fabulous shops, labs, and studios are represented with a few shops available soon after they receive some additional polish.

The ETS web development team has been working for the last 9 months with studio managers and other stakeholders to build the catalog. The team initially populated the catalog with information from CCA.edu and other sites and then trained the studio managers to maintain the pages themselves.

This release also contains a brand new look incorporating CCA's new brand guidelines.

0.2.03 Changes

  • 1st release of the shops catalog and shops pages, including:
    • Searching and filtering by program, materials, and campus.
    • Favoriting frequently accessed shops.
    • Shop pages include shop name and sub-title, hours, location, access rules, studio managers, contact information, detail description, materials, equipment, online resources, and a calendar. (Some elements are optional depending on the needs of the shop.)
    • Tagging shops with materials based on the catalog of materials in the Materials Library.
    • Rolling out the WagTail content management system.
    • Integration with Google calendars.

In this release we have deployed a new Pre-College application — the application is disabled until Jan. 3 when we start to accept Pre-College applications.

  • Better instructions for Proof of English Proficiency and for Letters of Recommendation.

First release of the new campus graduate application and updated design for the student course planner.

0.1.12 Changes

Applications, Inquiry, and Recruiting Events

  • Instead of creating a partial application in Workday when the application form is started, we now push the application data to Workday when the application form is submitted.
  • Graduate cohorts are now available in the application, including Dual Degree programs.
  • Application requirements and some requirement descriptions are dynamically driven from Workday data.
  • Items completed in Workday now are reflected on the applicant’s dashboard. This is particularly important for portfolios submitted through Slideroom.
  • Application for a particular cohort are now enabled and disabled via data from Workday.
  • Expanding email validation to all email fields.
  • Slideroom now opens in a separate window/tab.

Course Planner

  • Numerous design changes to make it easier to distinguish different sections.
  • Displaying registered courses on the planner.
  • Displaying the student’s registration priorities in Planner and on the dashboard.
  • Adding a link to the top-level of Webadvisor to encourage the student to go to Webadvisor.
  • Displaying the student’s advisor in the Planner and on the dashboard.
  • Stronger warning that you need to go into Webadvisor to make your changes to your course schedule.

Second release of the new campus undergraduate application.

0.1.11 Changes

  • Graduate application is completed, including support for dual degree. Grad apps wont be enabled until the first week in November, but they are there and ready.
  • Students, staff and faculty can now start a new application using their CCA credentials.
  • A read-only version of the application is available once an application is submitted, allowing the applicant to review what they submitted.
  • The application fee is highlighted and the applicant directed towards paying the fee on the dashboard.
  • Validation of US zip codes against the state or region.
  • Description text comes from Workday on upload pages and on the dashboard for Slideroom-based portfolios.
  • Many small to medium sized bugs fixed.
  • Many small UX enhancements.

This is our first public Portal release since June 21st.

Since that time, the team had been almost exclusively focused on a new application, inquiry form and events registration for prospective students. This is a huge collaborative effort between the ETS web team, ESO, the WorkDay team, and Communications.

Today, we released the inquiry form and events registration.

Unlike all the other Portal features inquiry and events are only accessed from CCA.edu and not directly from the Portal.

The undergraduate application will launch on September 5th, followed by the graduate application later in the Fall.

0.1.07 does contain a small Portal change. Portal now only displays email addresses to logged-in users. This is a small step towards reducing email spam and phishing.

The 0.1.06 release includes a major update to the dashboard.

The next planned release, 0.1.07, will go out on July 28th — a departure from the goal of releases every two to three weeks. The delay is to allow the ETS web team to focus on some high priority development for Admissions.

Deliverables:

General

  • added robots.txt and humans.txt to the project to improve searching.

Dashboard

  • The dashboard now presents more information for CCA News and Events and displays that information in a way that is more interesting and easier to parse. 
  • Utilizing the short title from CCA.edu for events.
  • New designs for Get Started.
  • For students and faculty, display an Important Enrollment Dates section on the dashboard.
  • During weeks when a student or faculty member is taking or teaching classes we now display a list of their enrollments or the courses that they are currently teaching. This is most like to happen during breaks between terms but could also happen during a long holiday break.
  • If the student or the faculty member is not currently enrolled or teaching any courses, we correctly display an appropriate message to that regard.

The Portal version 0.1.05 is largely a maintenance release with bug fixes and some design refinements.

Behind the scenes, we are now using a continuous deployment scheme for our development environment which means that changes committed to our master brand get immediately deployed to our development environment for testing and review without human intervention.

0.1.04, May 6, 2016

The 0.1.04 Portal release introduced granular control over who can see different elements of your CCA Profile. You can choose what aspects of your profile you want to share with the CCA community, the world, or with no one at all. We also fixed a bunch of bugs.

Deliverables:

Profile

  • Granular publishing options: Only Me, CCA Community, Everyone
  • Improvements to the inline editing experience, including better icons and icon positioning.
  • URLs no longer require http or https in the Profile.
  • No longer displaying section ids in your course history.
  • Faculty profiles now display the  courses that the faculty are currently teaching or will be teaching in any upcoming semester that is currently enrolled or enrolling.

People Directory

  • Showing phone numbers in the People Directory. Phone numbers for staff and faculty are always displayed. Student phone numbers are always displayed to Staff and Faculty. However, the student can decide whether to publish them to the entire CCA community or to the public. The student default is hidden.
  • Respecting other publish options from the Profile in the People Directory
  • Fixed a problem that caused some staff with certain statuses not to show up in the people directory.

Dashboard

  • The dashboard for a faculty member now displays their weekly course schedule. [Difficult to see right now since courses are not in session.]

Miscellaneous

  • Minor layout improvements on section detail pages for medium sized screens.
  • Minor type and layout improvements in the Planner to fit more on the page.
  • Bold is a little less bold.
  • Improved warning color in the Planner.

Bug Fixes

  • Fixed an instance where profile avatars were not displayed at the correct size. (See known issues.)

0.1.03,  April 22, 2016

Along with a number of bug fixes and minor enhancements, this release features a big change to the way that you edit your profile. When viewing your own profile, you can now make edits right in place. We hope everyone finds this much easier and more intuitive than the edit mode that we provided before.

  • Employment in Profile does not by date
  • Search does not always return the right results for partial strings
  • Number of results in search is not displayed correctly
  • Minor layout issues on some mobile devices
  • Sections are not always sorted correctly by term
  • Display of sections for terms beyond the currently enrolling term is mostly a fiction and will be rethought for a future update
